We hold your privacy in the highest regard and are fully dedicated to safeguarding the confidentiality and security of any information we gather from or about you.

This Privacy Policy outlines our principles and procedures regarding the collection and use of Personal Information when you interact with our website and utilise our service (referred to collectively as "Services"). It's important to note that this Privacy Policy specifically addresses the data we collect directly from individuals interacting with Agentico; including interacting with the Agentico website and Agentico social media platforms.

Please be aware that this Privacy Policy does not extend to the content we process on behalf of clients who engage with our business offerings. The handling and use of data under these circumstances are subject to separate customer agreements governing access to and utilisation of our services for those specific purposes.

1. Personal Information we may collect

"Personal Information" refers to any data that identifies or can be used to identify an individual. This may include, but is not limited to, names, email addresses, contact information, and any other information provided by you or collected through your interactions with our Services.

  • User Content: When you use our Services, we collect Personal Information that you input and share with us to enable interaction and support
  • Communication Information: If you communicate with us, we collect your name, contact information, and the contents of any messages you send ("Communication Information").
  • Social Media Information: We have pages on social media sites such as, LinkedIn. When you interact with our social media pages, we will collect Personal Information that you elect to provide to us, such as your contact details (collectively, "Social Information"). In addition, the companies that host our social media pages may provide us with aggregate information and analytics about our social media activity.
  • AI Assistant Conversations: When you use our on-site AI assistant ("Agentico Assistant"), we record and store the messages you send, the assistant's responses, and related metadata (the date and time, your IP address, and your browser/user-agent). You are shown a notice explaining this before a conversation begins. If you choose to leave contact details with the assistant so we can follow up, we use them to respond to your enquiry. Please do not share confidential or sensitive personal information with the assistant.

Automatic information we receive: We receive the following information about your visit, use, or interactions ("Technical Information") when you visit or engage with our Services:

  • Log Data: Information that your browser automatically sends when you use our Services. Log data includes your Internet Protocol address, browser type and settings, the date and time of your request, and how you interact with our website.
  • Usage Data: We may automatically collect information about your use of the Services, such as the types of content that you view or engage with, the features you use and the actions you take, as well as your time zone, country, the dates and times of access, user agent and version, type of computer or mobile device, and your computer connection.

  • To operate, secure and improve our on-site AI assistant
  • To notify you about changes to our Service
  • To communicate with you
  • To gather analysis or valuable information to improve our Service
  • To monitor the usage of our Service
  • If the law or government requires us to, we may need to collect and process your data

Where UK data protection law applies, we process your personal data on one or more of the following legal bases:

  • Legitimate interests — to operate, secure, analyse and improve our Services, including recording and storing conversations with our AI assistant for quality, security and record-keeping (you are shown a notice before a conversation begins), and to respond to your enquiries, where these interests are not overridden by your rights. You may object to this processing at any time (see "Your Rights").
  • Contract — where processing is necessary to take steps you ask us to take before entering into a contract, such as following up when you leave your contact details with our AI assistant or send us an enquiry.
  • Legal obligation — where we are required to process your data to comply with the law.

4. Disclosure of Your Information

We may disclose your personal information in the following circumstances:

  • To comply with legal obligations
  • To protect and defend our rights or property
  • With service providers and consultants who help us provide the Service
  • With our AI and infrastructure providers who process data on our behalf: the messages you send to our AI assistant are transmitted to OpenAI to generate responses and screen content for safety; conversation records are stored in Cloudflare R2; and our website and assistant run on Cloudflare infrastructure.
  • With our form-handling provider, Formspree, which delivers to us the enquiries you submit through our contact form and any contact details you choose to leave with our AI assistant for follow-up.

5. International data transfers

Some of our service providers (including OpenAI and Formspree) are located outside the United Kingdom, including in the United States. Where we transfer personal data outside the UK, we rely on appropriate safeguards, such as the UK International Data Transfer Agreement or Addendum (or an equivalent approved transfer mechanism).

6. Data retention

We keep personal data only for as long as necessary for the purposes set out in this policy. Conversations with our AI assistant are retained for up to 12 months and then deleted automatically. Enquiry and communication data is kept for as long as needed to manage our relationship with you and to meet our legal and accounting obligations.

7. Security

We have implemented appropriate security measures to safeguard your personal information from unauthorized access, disclosure, alteration, or destruction. While we employ reasonable security practices, it's important to recognize that no method of data transmission over the internet or electronic storage can provide absolute security. Your understanding of this inherent limitation is appreciated.

8. Your Rights

We respect your rights concerning your personal information. These rights include the ability to access, correct, delete, restrict, or object to the processing of your data, as well as the right to data portability. Where we rely on your consent, you may withdraw it at any time. To access or delete a conversation you had with our AI assistant, please contact us with the approximate date of your chat.

Any changes to this policy will be updated on this page, with a revised date shown. Your continued use of the Service after the changes are posted signifies your acceptance of the updated Privacy Policy.
